UNAA 2017 Repeat Election for UNAA President and South Pacific 2 Region Representative - Processes and Procedures

Dear UNAA Members,

Members who appear on the Voters Register: Please note that if your name appears on the attached voters register - then your membership is confirmed - Irrespective of whether the certification has a 'Y/N' next to your name.

If you have a "Y" designation - there is nothing you need to do. You're all set to receive the ballot.

If you have the 'N' designation, it simply means that you did not vote On-Site in Miami and therefore the UNAAEC did not physically verify your Government Issued ID to make sure your name matches up with what is on the voters register as well as your address of residency - for those participating in the representative repeat election.

If you voted On-Site in Miami and still have an 'N' designation then it simply means that the UNAAEC does not have an eligible email address on file to which to send your ballot for electronic voting. Please send this to the UNAAEC (unaaelectoralcommission@googlegroups.com) as soon as you can before the deadline.

Members who do not appear on the Voters Register: Members whose names do not appear on the voters register (Click on this link or the one at the bottom on this email) and claim to have paid and /or renewed their membership by August 1, 2017 are requested to send an email to the UNAA Treasurer (treasurer@unaa.org), copied to the UNAA BOT (unaabotsecretariat@gmail.com) and the UNAA EC (unaaelectoralcommission@googlegroups.com)) demonstrating proof of membership payment. All such disputes should be communicated by January 23rd 2018.

Any UNAA member who was in good standing, in accordance with the UNAA constitution, and had paid or renewed membership no later than 30 days prior to the Miami elections (i.e., by August 1, 2017), is eligible to vote in the repeat election.

Voter eligibility

Any UNAA member who was in good standing, in accordance with the UNAA constitution, and had paid or renewed membership no later than 30 days prior to the Miami elections (i.e., by August 1, 2017), is eligible to vote in the repeat election.

Voter register and certification of voters

Only those UNAA members who have been verified by the UNAA BoT and the UNAA Treasurer as having paid their membership by August 1, 2017 appear on the voter register. Members in good standing who were certified to vote off-site and those who voted (either off-site or on-site), in the previous election, have been certified by the UNAA EC to vote in the repeat election and are indicated with a “Y” next to their names. All other members, on the register, have an “N” next to their names indicating that additional documents are required prior to certification.

The required documents are:

1) a copy of a US government issued ID (e.g., passport, state ID, drivers license) and, 2) a copy of a recent utility bill with a visible name and physical address. These documents should be submitted, using the link https://form.jotform.us/72237194032148, by January 23, 2018. Please note that only those members who have been certified by the UNAA EC will be allowed to vote in the election.

Disputes regarding the register

Members whose names do not appear on the voters register and claim to have paid and/or renewed their membership by August 1, 2017 are requested to send an email to the UNAA Treasurer (treasurer@unaa.org), copied to the UNAA BoT (unaabotsecretariat@gmail.com) and the UNAA EC (unaaelectoralcommission@googlegroups.com), demonstrating proof of membership payment. All such disputes should be communicated by January 23, 2018.

Voting method and times

The election will be conducted online (via email) and each eligible voter will receive voting instructions via their respective emails. These instructions will guide voters as to how to cast their ballots at election time. Voting will commence at 9am ET on Friday, February 9, 2018 and close at 8pm ET on Monday, February 12, 2018.

Results: Following the election, results will be communicated to the UNAA membership by February 15, 2018.
